Licence management

Licence management (license management in US English) means keeping track of how many paid user licences an organisation uses in a system such as an LMS, and making sure they go to people who need them. It usually involves monitoring active users, deactivating leavers and dormant accounts, and planning renewals.

Why it matters

Many LMS plans are priced by active users. Accounts belonging to leavers or people who never logged in can cost real money, and push you into a higher tier.

How it works in Litmos

Users in Litmos can be active or deactivated, and deactivated users keep their training history. Check your Litmos agreement for exactly how users are counted.

Common pitfalls

Cleaning up once a year, just before renewal, when nobody remembers who's who. A regular review is quicker and safer.
