Access review

Find ex-employees who still have access to Litmos

When someone leaves, their Litmos login is easy to forget. That's a security gap: a former employee can still sign in, see training records and, if they were an admin, people's details. Micro's access review flags the logins that have gone quiet, starting with administrators and team leaders, so you can remove access with a preview. Freeing up licences is a bonus.

The problem

What it's like in Litmos today

  • Leavers' Litmos accounts are often missed when access is removed from other systems, so former employees can still sign in.
  • Admin accounts belonging to people who changed role or left keep full access to learner records long after anyone remembers them.
  • People who were invited but never logged in still count as active users.
  • If your Litmos agreement is priced on active users, every dormant account may be a licence you're paying for.
  • Pulling last-login dates for everyone and cross-checking access levels by hand takes hours, so it rarely happens.

How Micro solves it

Keep Litmos. Do this part in Micro.

  1. 1

    Findings, ordered by risk

Administrators and team leaders inactive for 90+ days come first, then people who never logged in, then learners inactive for 180+ days. You can change the thresholds.

  2. 2

Deactivate or downgrade with a preview

Select the people to clean up and preview the change. Admins who still need access can be downgraded to Learner instead.

  3. 3

    Account Owners protected

Inactive Account Owners are listed for you to review by hand, but they're never selected for bulk deactivation.

  4. 4

    Undo

Deactivated the wrong person? Undo reactivates them.

  5. 5

    A weekly email

Workspace owners and admins get a weekly summary when there's something to review, so access doesn't quietly drift again. You can turn it off.

Questions

Does Micro know who has left the company?
Not directly: it doesn't connect to your HR system. It flags logins that have gone quiet, which is how leavers and people who changed role usually show up, and lists admins and team leaders first because their access matters most. You decide who to deactivate.
Why is this a security issue?
An unused login is still a way in. A former employee, or anyone who gets hold of their password, can sign in and see what that account could see. For an administrator or team leader that includes other people's names, emails and training records.
Does deactivating a user delete their training history?
No. Deactivating a user in Litmos stops them signing in but keeps their record and training history, and Micro's undo can reactivate them.
Will this reduce what I pay for Litmos?
It depends on your Litmos agreement. Many LMS plans are priced on active users, so deactivating unused accounts usually lowers the count, but check how your contract counts users.
What counts as inactive?
By default: administrators and team leaders with no login for 90 days, learners with no login for 180 days, and people created more than 30 days ago who have never logged in. You can adjust each threshold.
Can I lock myself out?
Account Owners are never selected for bulk deactivation, because one of them owns the API key Micro uses. Every change is previewed first and can be undone.
Who gets the weekly email?
The owners and admins of your Micro workspace, and only in weeks when there's something to review.
