User provisioning

User provisioning is creating, updating and deactivating user accounts in a system as people join, move or leave an organisation. In an LMS it covers adding new starters, putting them in the right teams, keeping details such as job title current, and deactivating leavers, either by hand, by file import or automatically from HR systems.

Why it matters

Training assignments and reports are only as good as the user data behind them. A wrong team or an old job title means the wrong training, or none.

Ways to do it

Manual entry, spreadsheet import, an integration with an HR system, or automatic creation at first SSO login. Most organisations use a mix.

Common pitfalls

Joiners handled well but movers and leavers forgotten, so people keep old teams and leavers stay active. Deprovisioning matters as much as provisioning.
